This page explains how to configure the ZoneCapture E-Document Station.
General information
The ZoneCapture SuiteApp supports the sending and receiving of E-Documents (E-invoicing). An E-document station will be set up in many cases by the implementation consultant, but when needed the steps can be completed by the end-user. When an end-user does need to set up an E-Document station then the credentials for a connection must be requested by creating a support case. To create a support case please navigate to the knowledge base page “Raise a support case”. The ZoneCapture E-Document Station record support three different environments where the release preview isn’t set up by default. A release preview connection should always be requested as a one-time effort. The following environments are supported:
- Production
- Sandbox
- Release Preview
E-Document station
To create a new ZoneCapture E-Document station navigate to SETUP->ZONECAPTURE SETUP->ZONECAPTURE E-Document STATIONS->NEW. A new page will open that allows for creating a new E-Document station record. In this document, all settings will be explained per section and subtab.
General settings
In this section, it is possible to configure the default settings for the E-Document station.
- Name: Enter in this field a name for the new entry. We recommend keeping this really specific so that it is clear what purpose the record serves. An example could be to include the region in the naming convention.
- Api Provider: Currently this field is defaulting to a standard value and can not be changed.
- Inactive: When enabled the E-Document Station configuration record will not be active and the SuiteApp will not be using the configured data. Please be sure that the configuration isn’t used on any of the Main or Subsidiary configurations to avoid downtime in processing or loss of data.
Production settings
In this section, it is possible to define the connection that will only be used by the production environment. The data entered will be encrypted after saving and will become unreadable to other users.
- Production Basware Username (receiving): Enter in this field the username for the receiving connection. The needed values can be requested through our support department
- Production Basware Password (receiving): Enter in this field the password for the receiving connection. The needed values can be requested through our support department
- Production Basware Username (sending): Enter in this field the username for the sending connection. The needed values can be requested through our support department
- Production Basware Password (sending): Enter in this field the password for the sending connection. The needed values can be requested through our support department
Sandbox settings
In this section, it is possible to define the connection that will only be used by the sandbox environment. Sandbox testing is only possible between other sandbox accounts from the E-Document provider, so it is not possible to send documents outside the sandbox environment from the E-document provider. The data entered will be encrypted after saving and will become unreadable to other users.
- Sandbox Basware Username (receiving): Enter in this field the username for the receiving connection. The needed values can be requested through our support department
- Sandbox Basware Password (receiving): Enter in this field the password for the receiving connection. The needed values can be requested through our support department
- Sandbox Basware Username (sending): Enter in this field the username for the sending connection. The needed values can be requested through our support department
- Sandbox Basware Password (sending): Enter in this field the password for the sending connection. The needed values can be requested through our support department
Multiple sandboxes: In many cases a sandbox is populated with data by performing a refresh from the live environment. When multiple sandboxes are connected with a live environment then all of them will try to use the same connection what could lead to incorrect test results during a regression test. We recommend to manually remove the data in the sandbox accounts where the testing is not ongoing. When multiple tests must be performed in different sandbox accounts then please contact our support team for further assistance.
Release preview setting
In this section, it is possible to define the connection that will only be used by the release preview environment. A release preview account isn’t provided by default and can only be provisioned on request. The data entered will be encrypted after saving and will become unreadable to other users.
Release preview connection storage: When a release preview connection is provisioned on request then remember to not only alter the release preview account, but also your live environment so that when an new release preview account becomes available the data is copied automatically.
