There are two ways to send an e-invoice to a customer:
- Manually, by clicking the "Send E-Document" button after saving an invoice. This button only appears if the customer has been setup for e-invoicing.
- Automatically, if the checkbox 'Automatically send e-documents' has been checked on the customer record. Note that for e-invoices to be sent, the general configuration should have been done correctly as described here: General and Subsidiary Configuration
The saved search "Basware Document Sending Queue" shows all transactions that are currently queued for sending through Basware. Once a document is sent, it will disappear from this saved search.
It is recommended to first send an e-invoice to a customer manually before marking the customer for automatic sending. This way, any errors are displayed immediately.
After an e-invoice has been sent, status notifications are retrieved regularly. They are displayed on the invoice record. Monitor these notifications to find if documents were delivered. You may include these notifications in a saved search as well, and display them on your dashboard.
How to keep track of the status of the e-invoices
To get an overview of the e-invoices sent, please navigate to the dashboard portlet:
Please note that the portlet displays e-invoicing sections only when there is at least 1 record in the related saved searches. If you e.g. do not have any Failed E-invoices, the above section will not be visible.
When clicking on e.g. Sent E-invoices, you get to the saved search listing the records with more details:
It is also possible to see details on each Invoice record, under the Billings tab:
